Finding,
Claiming and Documenting Clock Hours
FINDING
PAST CLOCK HOURS
To request
a free copy of your ESD 105 Clock Hour record and search
of unclaimed ESD 105 hours, e-mail us with your record
request.
Caution:
ESD 105 has a very generous late filing policy, allowing you to
claim hours back to September, 2002. Most other providers have smaller
windows of time for claiming back classes. Please be aware that
each provider has different policies.
To find policies on clock hours
offered by other ESD's or OSPI:
CLAIMING PAST CLOCK HOURS
OSPI
only honors ESD 105 clock hour forms that have been receipted as
paid by ESD 105.
To help keep
down the cost of professional development, most ESD's do not automatically
include clock hour costs in registration fees, as other clock hour
providers do, because not everyone needs clock hours. You can tell
which providers separate these costs by looking at the standard
SPI 1125 Clock Hour form issued by the provider:
- Forms without
receipting fields mean the provider already charged you automatically
for clock hour costs, so no additional payment is required and
the form is complete.
- Forms with
receipting fields are not considered valid by OSPI until payment
is recorded in the receipting fields by the agency in the header
of the form.
If you
still have an ESD 105 clock hour form (SPI #1125) that
is not receipted, simply send it with payment to ESD 105 Clock Hours,
33 South Second Ave, Yakima, WA 98902. Forms are accepted back to
September, 2002. In November, 2006, ESD 105 eliminated the confusion
over unreciepted forms by now issuing an SPI #1125 form only after
payment is made.
Prices have
remained the same over the years: $2 per hour with a minimum $10
per program number. Cash or single check payable to ESD 105.
If you
need an ESD 105 clock hour claim form click
to download a copy of the form.
If your
clock hour form does not have ESD 105 in the header, there
is no need to send these to ESD 105. Just as you would not expect
to find CWU courses on a WSU transcript, ESD 105 transcripts only
carry ESD 105 approved programs. Check with the provider in the
header for instructions.
DOCUMENTING PAST CLOCK HOURS
The
standard clock hour form (#SPI 1125) is equal to an official transcript
if information is complete, including original signatures on all
legal affidavits, and completion of any fee receipting fields by
the program's provider. If you do not have all of your forms listed
in your ESD 105 clock hour report, you may request an official
transcript. Send $5 cash or check to: ESD 105 Clock Hours,
33 South Second Ave, Yakima WA 98902.
FOR SALARY CONSIDERATION
your school district determines if any additional documentation
is needed to approve hours for salary. Starting October, 2006, the
new ESD 105 clock hour form incorporates salary consideration information
saving paperwork in many school districts, but districts are free
to require additional documents.
We automatically
send complimentary official transcripts of ESD 105 clock hours to
school districts in September for all educators who attended programs
the previous year. This is a record of all paid ESD 105 hours. Keep
us updated on which school district you serve, if employed, so your
human resources department will receive your data. Click
here to e-mail your new district name to us.
FOR CERTIFICATION you may attach an unofficial report of
ESD 105 clock hours instead of listing classes when applying for
the Continuing certificate renewal (ProCert renewals must still
list classes). Then if you are audited, you may request an official
transcript that will match your email report.
WAC
181-87-050 identifies misrepresentation of completion
of in-service clock hours or continuing education credit hours
as an act of unprofessional conduct.
Documents
to have on hand in the event of an audit include original and/or
copies of these documents:
- College/university
grade sheets or transcripts that indicate completion of courses,
printed on original college paper (not plain paper).
- Form

official transcript from the provider if you have lost a copy

by the approved provider listed in the header of the form.

#SPI 1126, issued by colleges for members of approved
professional growth teams to verify consultation and collaboration.
- Form
#SPI 1128 for supervisors of interns & parapros,

Documents
not useful in an audit include unsigned or unreceipted
clock hour forms, college registration forms indicating you signed
up and paid for a class, or certificates of attendance/completion.
